Description

  • Provide administrative support to the President and other officers, Sales Manager, Facilities Coordinator and key Kiwanis committees.
  • Manages critical office functions, including mail and telephone, coordination of merchandise pick-up schedule, development and maintenance of master calendar of events and operational needs, on-site liaison with commercial tenants, written and electronic communications and gift acknowledgments, and development and maintenance of comprehensive paper and digital filing systems.
  • Attends all board meetings; assists Secretary with agenda and minutes; assists Treasurer with financial report preparation for the board.

 

Duties

  • Manages critical daily office functions, including mail and telephone.
  • Coordinates merchandise pick-up schedule with Assistant Sales Manager.
  • Develops and maintains a master calendar of events and operational needs.
  • Serves as primary on-site contact for multiple commercial tenants.
  • Attends all board meetings; assists Secretary with agenda and minutes; assists Treasurer with financial report preparation for the board.
  • Assists Treasurer and Bookkeeper with preparation for annual tax audit.
  • Prepares and sends written and electronic communications, including gift acknowledgments.
  • Develops and maintains comprehensive paper and digital filing systems; ensures that all important documents and records are electronically backup up.
  • Relates to customers and the public in a courteous and efficient manner.

 

Qualifications 

  • Has familiarity with general office procedures either through formal training or equivalent experience.
  • Is computer literate with current knowledge of word processing and spreadsheet software, preferably FileMaker (or comparable software later adopted for Foundation use as a replacement for FileMaker).
  • Has strong organizational, communication, and interpersonal skills.
  • Has ability to prioritize and multi-task.
  • Is attentive to detail.
