Facilities Manager - Full Time
Position Summary
The Facilities Manager is responsible for the maintenance and repair of all facilities of the Kiwanis Club of Ann Arbor Foundation, including tenant areas. This includes, but is not limited to, heating, ventilation and air conditioning systems, plumbing, lights, electrical and fire protection systems, security, monitoring systems, maintenance of the roofs, stairways, doors, windows, walls, the building exterior as well as the grounds, sidewalks, docks, parking lots and driveways, This position reports to the Executive Director and works closely with the Assistant Facilities Manager and Maintenance Technician.

Key Responsibilities and Duties
1. Establish a schedule of regular maintenance and oversee the maintenance of all equipment and systems.
2. Coordinate regular Reserve Studies to identify current and future upgrades, repairs, or other needed changes to the facilities and related systems.
3. Work with the Executive Director and other members of the leadership team in the preparation of the annual operations and capital budgets.
4. Track budgetary expenditures related to facilities. Report on the status of expended and unexpended funds by category. Report status to the Executive Director as requested. Identify and report any needed variance to the budget.
5. Maintain security systems of fobs, locks, and keys as needed in collaboration with IT staff.
6. Hire and supervise staff including Assistant Facilities Manager and other staff to ensure that all facilities functions are carried out appropriately.
7. Ensure that custodial and janitorial tasks in all buildings are coordinated and completed, such that all building cleaning needs are accomplished on a regular basis in a satisfactory and timely manner. This includes completing some tasks personally, supervising and directing others, including contractors and staff. This includes tasks related to regular and special meetings and events.
8. Ensure that the grounds, including lawns, shrubbery, docks, sidewalks, parking lots, and driveways are cleaned, mowed, trimmed, plowed, and free of snow and ice as appropriate for eh weather and the season. Ensure that trash is picked up from all exterior areas.
9. Solicit and obtain proposals for contracts for services from third party providers working under the supervision of the Executive Director. This shall not include the authority to enter contracts (except for one-time service contracts that require payment by Kiwanis of $1500 or less) without the approval of the Executive Director or the Board of Directors except in emergency situations.
10. Serve as the primary contact person for fire, police, and health department matters.
11. Maintain a clean and safe work environment meeting applicable legal requirements.
12. Provide the Facilities Manager's supervisor (Executive Director) a period summary written report, by email or otherwise, of primary activities, significant developments, if any, and projects completed.
13. Work with the Sales Manager to ensure all facilities are clean and safe. Coordinate with the Sales Manager and the sales staff on staging of special events or other projects.
14. Serve as a member of the ad-hoc Safety Committee. Serve as the Covid officer as needed.
15. Create and maintain a 24-hour emergency HOT LINE.
16. Oversee and see to the maintenance and repair of Kiwanis vehicles.
17. Track utility expenditures in cooperation with the bookkeeper to monitor and reduce utility costs wherever possible.
18. Relate to customers and the public in a courteous manner.
19. Manage government requirements related to zoning, permits, signage, etc.
20. Provide services for the Kiwanis Environmental Educational Preserve (KEEP) and might be needed from time to time.
21. Other duties as assigned.
Position RequirementsPreferred Skills and Qualifications
- Satisfactory criminal background check and drug screen;
- Valid Michigan driver's license and a good driving record that is sufficient to qualify as a permitted driver under Kiwanis insurance.
- Proficiency in use of computer systems including Microsoft word and excel and database software.
- Able to lift up to 50 pounds including maneuvering up and down stairs while doing so.
Preferred Skills and Qualifications
- Prior experience in facilities maintenance and repair
- Experience working in a nonprofit organization as staff or volunteer.
- Knowledge of process improvement methods.
- Experienced in problem solving and decision making.
- Comfortable working in a fast-paced, complex environment.
- Experience in budgeting and forecasting.
Schedule: Hours per week ranges from 38 - 40, with the ability to work flexible days. Full-time
Typical work week: Five days, 8am-4pm, may include Saturdays
