Volunteer and Engagement Coordinator

Position Summary:

The Volunteer and Engagement Coordinator leads recruitment, training and retention of volunteers for Kiwanis Thrift Sale and all other Foundation service projects. In addition to volunteer coordination, this position is responsible for Ann Arbor Kiwanis's external engagement including, social media, newsletters, and the coordination of community events. This position reports to the Executive Director.

Key Responsibilities and Duties

Volunteer Coordination (80%)

• Conducts volunteer outreach, orientation, training, and other support functions.
• Hosts weekly volunteer orientations and regular training sessions. Connects volunteers with departments, and performs all required volunteer onboarding, paperwork, and recordkeeping.
• Collaborates with the Thrift Department and other staff to understand volunteer needs. Identifies volunteer Team Leaders for each department and establishes communication channels that ensure all Team Leaders and volunteer cohorts receive regular and consistent communication and updates.
• Identifies and implements strategies to recruit new volunteers, and encourages participation by Club members, for all open volunteer positions, including coordinating the Thrift Sale and other Foundation service projects.
• Develops with the Sales team comprehensive onboarding, training and informational guides that detail each aspect of the Kiwanis volunteer program for informational and training purposes.
• Maintains a working schedule for volunteers and encourages the use of SignupGenius.
• Maintains detailed records of volunteer information and activities using databases for reporting needs.
• Participates in regular meetings and strategic planning sessions with team leads, and Executive Director.
• With the Sales Team, develops and maintains volunteer policies, procedures and standards.
• Promotes volunteer satisfaction, ensuring volunteers feel appreciated, are kept informed, and have the support they need.
• Positively interacts with volunteers and customers on the sales floor during sale hours, exhibiting strong customer service skills.
• In the case of volunteer shortage, maintain coverage of crucial functions.
• Ensures that volunteers relate to customers and the public in a courteous manner and meet customer service expectations, and adhere to our code of conduct in all relations.
• Creates a welcoming environment for all volunteers irrespective of their race, ethnicity, sex, gender, sexuality, gender expression, age, ability, and other differences.

Community Engagement (20%)

• Coordinates volunteer recognition programs, and events, staying within the budgets set out by the Executive Director.
• Coordinates the Foundations external communications including, social media posts, newsletters, photographs, and other outreach as assigned.
• Helps create Foundation's program-specific materials including brochures, surveys, flyers, videos, blog posts, and program participant stories.
• Supports Foundation team to coordinate events, including recruitment and scheduling of volunteers to assist with event planning, promotion, day-of-event support, and wrap-up tasks.
• Attends public engagement events, outreach activities, and hosts informational tables.
• Collaborates with other agencies and community partners.
